This role will be located at our headquarters facility located in Johnston, Rhode Island.
This is a 5 days office-based position with flexibility to work remotely depending on business needs.
Responsibilities
The Project Coordinator is responsible for supporting the planning, implementation, and administration of programs and activities managed out of the Strategy&Business Transformation Portfolio. In addition, this role plays a key part in supporting departments across the enterprise in the adoption of Workfront and project and change management (PCM) practices— helping teams onboard, standardize ways of working, and build capability in how they plan, track, and deliver work. This includes supporting work intake and governance; administration and configuration of Workfront; portfolio reporting; and department enablement. They work closely with program managers, department leads, and cross-functional teams to ensure programs and enterprise initiatives are delivered on time, within budget, and in adherence to standards — while also ensuring departments are equipped with the tools, processes, and practices they need to manage work effectively. Theysupport planning, tracking, reporting, risk and issue management, and communications across both portfolio activities and Workfront enablement efforts.
Specific responsibilities include but are not limited to:
Design, prepare, and distribute regular portfolio or department-wide reports
Administer and manage work intake and governance processes including supporting prioritization and orchestration of the transformation stage gate process
Administer and configure Workfront to support department-specific workflows, templates, and reporting needs in alignment with enterprise standards
Support the onboarding and enablement of departments across the enterprise onto Workfront, including training coordination and adoption support
Partner with department leads and project managers to drive adoption of standardized project and change management (PCM) practices and processes
Work with PMs and department teams to ensure overall hygiene and consistency of initiatives, programs, and projects within Workfront, supporting enterprise-wide standardization
Serve as a point of support for Workfront end-users, troubleshooting issues, answering questions, and promoting best practices across teams
Partner with PMs to develop and maintain documentation including status reports, project plans, stakeholder registry, risk/issue log, and change requests
Follow-up with Program Managers and team members on overdue tasks and activities
Ensure compliance with processes, standards, and document storage/archive guidelines
Coordinate and support meeting, working session, and event scheduling
Capture and summarize meeting outcomes, takeaways, and action items
Support leads in coordinating vendor management activities such as contract reviews, information security assessments, approvals, and onboarding
Support development, tracking, and reporting of success metrics for programs within the portfolio
Support development and distribution of program communications including PowerPoint presentations
Work with leads to drive continuous improvement in project and change management practices and processes
2+ years of Workfront administration and configuration experience required, including project setup, custom forms, templates, dashboards, and user/group management.
2+ years of experience as a project coordinator with successful track record execution
Experience coordinating medium and large-scale programs is strongly preferred!
Technical Ability: Knowledge of and experience with standard documentation and project management tools (e.g., MS Project, Excel, PowerPoint) and able to learn and adapt effectively to new operational tools.
Presentation&Communication: Strong communication skills (including written and oral presentation skills).
Planning&Organizing: Skilled at developing schedules and timetables with clear, specific milestones, deadlines, and contingencies. Able to monitor team performance and adjust plans or pace based on progress, performance, risks, and issues.
Problem Solving: Effective at anticipating, identifying, and implementing practical and timely solutions to problems.
Partnership Building: Ability to multi-task, work under pressure, and partner effectively with stakeholders across the enterprise, including department leads, project managers, and functional teams.
Education
Bachelor's Degree or equivalent work experience
The hiring range for this position is $83,000 to $119,000.
The final salary offer will vary based on geographic location, individual education, skills, and experience.
