Description
Remote Project ManagerSalary: 1000-1500
Schedule: Monday to Friday, 8:00 AM to 4:30 PM Eastern Time
Location: remote (LATAM)
Position Overview:
The Project Manager at Vinyl Labs plays a critical cross-functional role that ensures jobs move efficiently from sales to production to installation. This role supports Sales by handling administrative tasks, coordinating project timelines, collecting and organizing design assets, and managing communication with clients. The ideal candidate has a strong understanding of vinyl graphics, is highly organized, and thrives in a fast-paced, detail-oriented environment.
Key Responsibilities:
Sales & Client Support
- Serve as the main point of contact for clients after quote approval.
- Handle administrative tasks such as site photos, data collection, and work order setup.
- Maintain clear communication with clients regarding design approvals, revisions, and job progress.
- Resolve client concerns with professionalism and urgency.
- Use Trello to manage the movement of jobs through the Vinyl Labs workflow-from quote approval to job completion.
- Ensure all Trello cards are complete with accurate project information, checklists, and attachments.
- Create and maintain Dropbox folders for each client containing all design assets and branding elements.
- Collect all necessary design files, photos, and instructions for the Design Team.
- Review design mockups for completeness before sending to the client.
- Communicate revisions to designers and manage back-and-forth efficiently.
- Ensure all design approvals are documented (email or signed proofs).
- Coordinate print samples when required.
- After design approval, initiate job handoff to the Logistics Manager for scheduling and install coordination.
- Ensure clients are introduced smoothly, and that full job history is carried over via email and Trello.
Required Skills & Experience:
- Strong familiarity with vinyl types, production limitations, and application processes (cast vs. calendered, print vs. cut, overlaminate usage, etc.)
- Experience working with Trello, Dropbox, and Google Drive in a team environment
- Understanding of vehicle wrap workflows, design-to-print pipelines, and client approval processes
- Clear and professional written communication skills
- Highly organized with an ability to manage 20-40+ active projects at once
- Comfortable navigating between departments (Sales, Design, Production, Install)
Assets (Nice to Have):
- Previous experience in signage, wrap, print, or marketing environments
- Background in Adobe Illustrator or proofing tools
- Familiarity with quoting or invoicing platforms (e.g., Zoho Invoice)
Performance Expectations:
- Jobs are handed off with zero missing information
- Clients receive fast, clear communication throughout the process
- Designs are approved quickly and with minimal revisions due to clean direction
- Production and Install teams are set up for success with no surprises or missed details
